Hoshii vs. Microsoft 365 Copilot
Copilot helps one person write faster. Hoshii does your team's work.
Copilot summarises emails and suggests replies, shared mailboxes included. It does not know what is in your ERP: which customer is writing, what they ordered last time, which article they mean. Hoshii brings exactly that information to the mail, reads orders out, creates them in the ERP after approval and routes every mail across the team.
- One workspace for the team Hoshii brings your operations team's mailboxes into one workspace. Copilot works for whoever is signed in.
- Agents with access to the ERP Customer, articles and open orders sit on the mail before you open it. Copilot sees only the mailbox.
- Order processing as a module An order mail becomes a checked order in the ERP. Copilot writes text, not orders.
At a glance
| Hoshii | Microsoft 365 Copilot | |
|---|---|---|
| Where your team works | In the Hoshii Workspace, which brings your team's mailboxes together. An Outlook add-in covers the transition. | In Outlook and every Microsoft 365 app. 1 |
| What is handled besides orders | Everything that reaches your operations team: orders, complaints, invoices, questions. Order processing is one of the modules. | Summarises and drafts when you ask. Nothing is sorted on arrival. 1 |
| Which order formats are read | PDF, email text, Excel, photo, handwriting and voicemail, with no templates to set up. | Summarises the mail text. Extracting lines from a PDF as an order is not part of it. 1 |
| Matching to the article master | Every line is matched to the ERP article, even when the customer calls it something else. Uncertain lines are flagged. | Not in Outlook. Copilot for Finance connects the ERP for receivables communication only. 2 |
| When the ERP is posted | Only once someone on your team approves. Nothing is posted before that. | Not part of the Outlook functions. 1 |
| Context from the ERP | Customer, open orders and last documents sit on the mail before you open it. | Mailbox, calendar and documents in Microsoft 365. No ERP. 1 |
| Owner and status | Every mail shows who has it, how far it is and by when. Internal comments stay internal. | Copilot works for the signed-in person, not for the team. 1 |
| Learning from corrections | Every correction is saved against the customer. Next time the match is right. | No per-customer learning is described. |
| Hosting and security | EU data centres (Germany), GDPR with a DPA, SOC 2 and ISO 27001. | Microsoft cloud, region depends on the tenant. |
| Price | Per workspace, by mail volume and connected systems. Quote after the demo. | List price per user per month on Microsoft's website. |

Which one fits
Microsoft 365 Copilot fits if
- Everyone in the company should write and summarise faster, in Word, Excel, Teams and Outlook.
- Your mailbox is personal, not shared, and orders are not your daily work.
- Copilot is already licensed and you want to see its value first.
Hoshii fits if
- A team works order@ or info@, and every mail needs an owner.
- Orders should land in the ERP as a checked entry, not as a text draft.
- The answer to the customer's question is in the ERP, not in the mailbox.
The 2 to 3 hours a day we used to process orders have been cut in half. New joiners also have impact significantly faster.
Thomas Locher Head of Sales, Max Schwarz AG Questions
We already use Copilot. Why Hoshii?
Copilot helps one person write faster. Hoshii does your team's work: it recognises orders and questions, assigns them, looks up customer and articles in the ERP, and prepares the order or reply for approval. Both run in the same Outlook.
Does Copilot know our ERP?
Not in Outlook. Microsoft offers an ERP connection in Copilot for Finance, for Business Central and SAP, and only for receivables communication. Hoshii reads customers, articles and orders from more than 20 ERP systems and writes approved orders back.
Do we have to leave Outlook?
Your team works in the Hoshii Workspace; the mailboxes and addresses stay in Microsoft 365. An Outlook add-in that runs beside Copilot covers the transition.
