Questions
How Hoshii works, what it connects to, where your data lives, and what it takes to start.
Product & how it works
What is Hoshii?
Hoshii is the AI‑native inbox for B2B operations. Our agents read what arrives in your shared mailboxes: orders, RFQs, complaints, questions. They reach into your ERP, CRM, price lists and files, draft the reply that fits the customer, and prepare the entry your ERP needs. Your team approves or overrides.
Who is Hoshii for?
B2B teams whose day arrives by email. Order desks and customer service, sales and account management, finance and accounts receivable, and the contract and legal side. Most of our customers are wholesalers, manufacturers and distributors in the DACH region, where a shared inbox is still where the work starts.
Does Hoshii replace my team?
No. Hoshii takes the repetitive work so your team can get ahead of it. There is always a human in the loop: our agents prepare the work, your team approves, adjusts or overrides it. It takes work off your team, not decisions away from them.
What happens when Hoshii gets something wrong?
Nothing reaches a customer or one of your systems without your approval. Your team corrects it before it goes out, and every correction teaches the agent through Continuous Learning, so the same mistake does not come back. AI can make mistakes, so always double check.
Which channels and formats can Hoshii handle?
Email and whatever is attached to it: PDFs, Excel sheets, scans, plus voicemails, WhatsApp messages and photographs of handwritten notes. Whatever channel or format the work arrives in, Hoshii reads it and turns it into a structured task.
Which languages does Hoshii understand?
Hoshii works out what a message means in any language and any phrasing, across 25+ languages, typed, scanned or spoken. German, French, Italian and English are included. Your customers never have to change how they write.
What is the Unibox?
One shared workspace where every channel arrives as a structured task with an owner, a status and a deadline. Build personal views to work the way you like, and see where everything stands at a glance.
Does Hoshii read my private inbox?
Shared stays shared, private stays private. Hoshii works in the mailboxes you point it at. Your personal mailbox stays yours. Nothing is read from it and nothing in it is visible to colleagues, until you choose to bring a specific thread into the Unibox.
What are your agents?
An agent is a teammate you scope to one kind of work: order entry, quote follow‑up, complaint triage, chasing unconfirmed orders. It works in the Unibox alongside the people doing the same job, and each has its own level of autonomy, so one you trust runs further ahead.
Which Skills are available today?
Order processing, order confirmation and writing back into your ERP are live. Quote drafting, complaint handling, shipping updates and reorder reminders are in development. Your own team can build routine Skills, like a weekly list of customers who usually order and did not, without engineering.
What can the chat do for me?
Ask your own operation a question and get an answer out of your own data. Chat reaches the same connected systems our agents use, so “which orders are still unconfirmed?” is answered from your ERP and your inbox. It runs inside Hoshii: what you ask never leaves your company.
Can my team collaborate in Hoshii?
Yes. Comment on any task and @mention anyone, including colleagues who do not use Hoshii, and they can reply from their own inbox. Inviting your whole company to collaborate is free, so there is no more forwarding threads back and forth.
What does Analytics show me?
Analytics is your read on how the operation actually runs: the mix of what arrives, where work is piling up and on whom, which customers cause the most rework, and how close each kind of task is to running on its own. It also points at what to fix next.
Can Hoshii run fully autonomously?
Autonomy is a spectrum, not a switch. Every kind of work sits somewhere between fully manual and fully autonomous, and it moves as Hoshii learns. We aim for 95% handled autonomously, with your team holding the judgment calls.
How is Hoshii different from a chatbot or a generic AI assistant?
Hoshii is not a chat window. It is a workspace wired into your systems and your team’s rules: it reads real inbound work, prepares finished entries and replies, and routes tasks to owners with deadlines. What comes out is work waiting for approval, not a conversation.
We already use Microsoft Copilot. Why Hoshii?
Copilot helps one person write faster. Hoshii runs your team’s work: shared tasks, context pulled from your systems, and numbers for the whole operation. Same budget, different job.
Connected systems & integrations
What can Hoshii connect to?
Whatever your answers live in. Hoshii is live with 20+ ERP systems across DACH wholesale, manufacturing and distribution, and there are 1,300+ connectors for the systems around them: CRM, accounting, ticketing, spreadsheets, file shares. If a system has an interface, Hoshii can reach it.
Do we need to connect our other systems?
No. Hoshii works from day one with just your mailbox: reading, sorting, drafting, following up. Adding your CRM, calendar or folders read‑only gives it more context. Connecting your ERP is what turns a draft into a finished entry, so it is worth doing early, but nothing waits on it.
Which ERP systems does Hoshii work with?
Hoshii is live with 20+ ERP systems across DACH wholesale, manufacturing and distribution, and there are 1,300+ connectors for the systems around them. If yours is not connected yet, Hoshii can connect to any ERP with an interface.
What if my ERP is custom or in‑house?
That is fine. A custom or in‑house ERP connects through the Hoshii CDK (Connector Developer Kit) over a REST API, SFTP or Computer Use. You or your IT partner build the connection with whichever method fits, with no off‑the‑shelf integration required.
What is the difference between a REST API and an SFTP integration?
Two ways to connect. REST is real‑time and two‑way: Hoshii reads and writes live, for systems with a modern interface. SFTP is file‑based: structured files dropped and collected on a schedule, for systems without a live API. Where there is no interface, Computer Use (Alpha) works the screen.
What is the Hoshii CDK?
The Connector Developer Kit: the toolkit for connecting any ERP to Hoshii, over REST, SFTP or Computer Use. Your team or your IT partner builds the connection with it, and there is no plumbing left for you to maintain afterwards.
Who builds the ERP connection?
Whoever you would rather have build it. Your own IT team can, with the CDK. So can your ERP provider or your IT consultant, who may already be a Hoshii partner. And if you would rather not touch it, we will build it with you.
Does Hoshii replace my ERP?
No. Your ERP stays your system of record. Hoshii is the layer above it, handling the journey from an inbound message to a clean, structured entry that a person approves before it posts.
How is Hoshii different from OCR or EDI tools?
OCR only extracts text. EDI only works when a customer sends a structured format. Hoshii reads unstructured messages across every channel, applies your team’s rules, and prepares both the entry and the reply. That covers what OCR and EDI cannot: the email with three changes buried in it.
Security & data
Where is my data hosted?
Hoshii is built in Switzerland and hosted in the EU. Your data is processed in EU data centres and never leaves the EU. Email encryption is included on every plan.
Is Hoshii GDPR‑compliant?
Yes. Hoshii is GDPR‑compliant, and a Data Processing Agreement (DPA) is available on request. Your data is processed in EU data centres and is never used to train third‑party models.
Do you use my data to train AI models?
No. Your data is never used to train third‑party models. The corrections your team makes stay in your own workspace: they teach your own agents how you work, and nothing about them leaves your company.
What about SOC 2 and ISO 27001?
Hoshii is GDPR‑compliant today, and SOC 2 and ISO 27001 audits are in progress. We are happy to share our current security documentation on request, and a Data Processing Agreement can come with it.
Getting started & pricing
Can I set Hoshii up myself?
Yes. Sign in with Gmail or Outlook, point Hoshii at the mailboxes you want it working in, and it starts preparing what arrives. No implementation project, no migration. The one part that can involve someone else is the ERP connection, which your own IT team can build with the CDK.
How long does it take to get started?
Two parts, running in parallel. Signing in takes minutes: single sign‑on with the mailbox you already use, no migration and no new address. The ERP connection is the longer half: often days with an ERP we already know, up to about six weeks with a new one.
Do you onboard and train our team?
You do not need us in order to start: the Unibox is built to be picked up without training. Hands‑on onboarding is there when you want it, and usually worth taking, because adopting Hoshii is more a change in how the desk works than a change of software.
Does my team have to change how they work?
No. The work keeps arriving in the inbox they already use, and that is where Hoshii starts, preparing each message before anyone opens it. When the team wants more overview, the Unibox is there: one shared inbox with owners, statuses and deadlines.
What does Hoshii cost?
We quote per workspace, against how much lands in the inbox, how many inboxes it covers and which systems Hoshii writes into. Users are unlimited on every quote. The work itself is metered in credits, with an allowance we size to an average month with you.
How do I get started?
Sign in and point Hoshii at one mailbox; you will see what it does with real work inside the hour. If you would rather be walked through it, book a demo and bring a real order, and we will show you what happens to it in 30 minutes.
The order processing page walks through what happens to a single order, and pricing covers what a workspace costs.
