Hoshii vs. Outlook
Outlook is a mailbox. Hoshii is the workspace where your operations team gets the work in it done.
Several people can read and answer a shared mailbox in Outlook. Nobody there can see who picked up a mail, whether it is done, or what the customer ordered last time. Hoshii is the shared workspace for your operations team: the mailboxes come together in it, Agents sort every mail, bring the customer in from the ERP and prepare replies and orders for approval.
- One workspace for the whole team Personal and shared mailboxes in one place, with owner, status and internal comments on every mail.
- Agents that work alongside you Every mail is sorted on arrival, enriched with the customer and their orders from the ERP, and prepared with a reply draft.
- Order processing as a module Orders are read out, matched to articles and created in the ERP after your approval. One of several modules.
At a glance
| Hoshii | Outlook | |
|---|---|---|
| Where your team works | In the Hoshii Workspace, which brings your team's mailboxes together. An Outlook add-in covers the transition. | In Outlook, on the desktop, in the browser or on mobile. 2 |
| What is handled besides orders | Everything that reaches your operations team: orders, complaints, invoices, questions. Order processing is one of the modules. | Rules sort by sender or subject into folders. No rule understands what the mail says. 1 |
| Owner and status | Every mail shows who has it, how far it is and by when. Internal comments stay internal. | Categories and flags that each person sets themselves. There is no owner per mail. 1 |
| Which order formats are read | PDF, email text, Excel, photo, handwriting and voicemail, with no templates to set up. | The order is read and typed into the ERP by hand. |
| Matching to the article master | Every line is matched to the ERP article, even when the customer calls it something else. Uncertain lines are flagged. | Outlook has no connection to the article master. |
| When the ERP is posted | Only once someone on your team approves. Nothing is posted before that. | By hand, in a second window. |
| Context from the ERP | Customer, open orders and last documents sit on the mail before you open it. | Only the thread so far. Everything else is in the ERP or a folder. |
| Reporting | Response times, handling time and open items, per team, customer and topic. | Who worked on what for how long cannot be measured. |
| Price | Per workspace, by mail volume and connected systems. Quote after the demo. | Included in the Microsoft 365 subscription, no licence of its own up to a certain size. 1 |

Which one fits
Outlook fits if
- You need one shared address several people read and answer, and nothing else.
- Order volume is small enough that one person keeps the overview in their head.
- Your ERP has no interface and you do not want to set up a file handover either.
Hoshii fits if
- Your operations team needs a shared workspace, not only a shared address.
- Every reply to a customer starts with a search in the ERP today.
- Orders arrive as PDF, Excel or photo and are retyped.
The 2 to 3 hours a day we used to process orders have been cut in half. New joiners also have impact significantly faster.
Thomas Locher Head of Sales, Max Schwarz AG Questions
Does Hoshii replace Outlook?
For your team yes, for your IT no. Hoshii connects to the existing Microsoft 365 mailboxes and syncs both ways; the addresses stay. Your team works in the Hoshii Workspace. An Outlook add-in covers the transition.
What is the Hoshii Workspace?
A web surface where personal and shared mailboxes come together. Agents sort the mail, bring in context from ERP and CRM, and prepare replies and orders. Your team reviews, comments internally and approves.
Then what is the Outlook add-in for?
For teams that do not want to switch yet. It labels mail, shows status and owner and opens orders for approval in Outlook. Internal comments, reply drafts with ERP context and the reporting exist only in the Workspace.
How long does the rollout take?
The mailboxes are connected the same day by signing in with Microsoft 365. Your administrator approves the app and deploys the add-in. The ERP connection usually takes a few days.
